$25.310 - $31.640 - $37.970The stated pay scale reflects the range that Sharp reasonably expects to pay for this position. The actual pay rate and pay grade for this position will be dependent on a variety of factors, including an applicant’s years of experience, unique skills and abilities, education, alignment with similar internal candidates, marketplace factors, other requirements for the position, and employer business practices.
What You Will Do
Provides support to administrative team by coordinating Medical Center(s) priorities. Ensures effective and efficient systems. Ensures processes are utilized to achieve and improve patient care and operational outcomes. Will assist with oversight for Sharp Experience initiatives. Collaborates and assists with strategies that target patient, physician and employee satisfaction.
Required Qualifications
- H.S. Diploma or Equivalent
- 2 Years experience in coordinating/leading activities for an office or organization.
Preferred Qualifications
- Two years of college coursework.
Essential Functions
- Accurately prepares correspondence
Researches and gathers data from various sources and generates special projects/reports/summaries. Report generation may involve analyzing statistics and preparing spreadsheets, databases and other documents.
Proficient in the use of computer applications (i.e. Word, Excel and PowerPoint).
Composes correspondence, memos, presentations, flyers, charts and other documents as directed. - Communication and record maintenance
Manages monthly site communication through development of site newsletter and printed materials.
Coordinates weekly site reflection.
Maintains Sharp Experience board.
Develops proactive working relationships with physicians and staff and communicates site information as needed.
Initiates establishment and maintenance of record keeping systems to ensure efficient retrieval of documents. - Coordinate events
Plans and coordinates site celebrations (i.e. Doctors day, employee appreciation week and Holiday party etc.).
Chairs the site special events committee.
Participates in system fundraising.
Leads reward and recognition initiatives.
Represents site on the entity Sharp Stars Committee. - Customer satisfaction
Monitors patient satisfaction data, analyzes results by entity, department, individual and posts results.
Chairs site patient satisfaction committee.
Leads rollout of Sharp Experience initiatives for site staff.
Participates as a member of the administrative team as related to achievement of site goals and targets.
Provides focused training on Sharp Experience principles for all new employees, including how to interpret patient satisfaction scores. - Leadership
Assists with orientation of new staff.
Facilitates inter-departmental cooperation and teamwork.
Acts as a resource and role model for staff.
Demonstrates professional conduct, appearance and communication. Respects diversity, acts as a positive change agent, utilizes ethical decision making, critical thinking and problem solving skills.
Manages special projects as directed. - Meeting coordination
Schedules meetings and related resources and confirms participants.
Prepares agenda and attachments, attends and takes minutes for meetings as directed.
Ensures readiness of reports and information. - Site support
Coordinates vendor activities, manages vendor accounts, ensures invoices are accurate and prepares for signature.
Coordinates office moves, space modification and ergonomic evaluations.
Serves as site trainer for various computer applications.
Resource person within the site for physicians and staff.
Directs volunteer activities in the absence of Patient Liaison.
Manages site mailroom.
Responds to urgent and emergent situations in a calm and capable manner. Utilizes good judgment and problem solving ability.
Participates in and prepares for site inspections and inventories.
Knowledge, Skills, and Abilities
- Ability to make independent judgments.
- Strong computer skills utilizing Microsoft Programs including; PowerPoint, Excel and Word.
- Ability to execute tasks with minimal instruction.
- Strong math skills.
